A Brief Overview

The Simulation Coordinator will provide administrative support for the Institute for Simulation Learning to meet the education and training requirements for Holy Name staff and clients of the AHA Community Training Center. This support includes planning, initiating, completing, and following up on various administrative and secretarial tasks. As well as, performing the duties as an AHA Training Center Coordinator as required by the American Heart Association


What you will do

  • Assists with administrative and office management functions of the ISL.
  • Prepares purchase orders, check requests, travel expenses and ensures all invoices are paid in a timely manner for ISL/AHA.
  • Manages the ISL reception area and serves as a receptionist. This includes greeting visitors, answering telephones, directing learners, responding to inquiries, and providing basic information.
  • Oversee the administration of all AHA courses. This includes monitoring and supporting instructors to ensure they follow AHA guidelines and teach classes within discipline.
  • Track facilities usage for simulation and ISL courses, including AHA courses.
  • Manages ISL and AHA courses, including processing enrollments, course paperwork, scheduling instructors, and distributing course certifications.
  • Manage course communications with all enrolled learners.
  • Maintains up-to-date records for Holy Name staff in the learning management system.
  • Purchase and manage inventory of ISLand AHA course materials, equipment, and office supplies.
  • Additional duties include marketing communications, community outreach, research for department documentation, and other projects as needed.
  • Occasional evening or weekend hours may be required depending on course schedules.


Education Qualifications

  • High School preferred


Experience Qualifications

  • 1-3 years Previous experience as an instructor or coordinator in an AHA Training Center or similar role in healthcare or education preferred


Knowledge, Skills, and Abilities

  • Strong organizational skills; detail-oriented, excellent written and verbal skills; strong customer service skills; expertise in various computer programs and software, including but not limited to (Word, Excel, PowerPoint, Google Docs, and Google Sheets).
  • Must be able to learn new software systems, such as scheduling and management programs.


Licenses and Certifications

  • AHA Certifications, BLS, ACLS, PALS preferred
