A Brief Overview

This position is responsible for processing bi-weekly payroll, preparing payroll tax returns, make appropriate tax deposits, and ensure timely remittance of the voluntary payroll deductions. The Payroll Specialist also reviews the time entry data to ensure it is appropriate as well as assists hospital employees with any payroll issues they may have.


What you will do

  • Review data and authorizations on payroll time keeper, prior to data upload and processing
  • Initialize, run and complete the bi-weekly Payroll process for all the Physician Network and Subsidiary Companies
  • Review preliminary/edit reports on biweekly payroll; correct any identified errors and/or omissions
  • Prepare properly authorized special demand checks according to established procedures; ensure its accuracy
  • Prepare payment requests for payroll taxes and voluntary deductions; ensure that checks are issued timely by Accounts Payable and are mailed with appropriate documentation
  • Maintain a biweekly payroll control log; ensure that the control spreadsheet totals tie to the Payroll Quarterly Reports
  • Prepare Payroll Quarterly tax reports for all the Physician Network companies
  • Maintain an organized filing system of payroll reports and records
  • Process and distribute year end W-2 forms. Thoroughly understand all the information on the W-2 forms in order to answer employee’s questions in a clear and concise manner
  • Provide accurate payroll information on forms requested by government agencies and the like, pertaining to legal and payroll deduction issues; forward to Human Resources for completion and authorization
  • Receive and answer inquiries from Hospital employees regarding the timekeeper data, payroll deductions, and other related matters promptly. Resolve problems and issues presented. Refer other pertinent questions applicable to Human Resources, accordingly
  • Receive and answer Vendor questions and/or discrepancies related to payments of payroll deductions and tax deposits
  • Protect the confidentiality of payroll information according to Hospital policies and guidelines
  • Assist in identifying payroll system enhancement opportunities and suggest appropriate changes
  • Maintain work area in a neat and orderly manner
  • Serve as back up during the Payroll Supervisor’s absence
  • Assist on special projects and perform other duties as assigned


Education Qualifications

  • Associate's Degree or equivalent experience Required


Experience Qualifications

  • 5+ years experience in processing payroll Required


Knowledge, Skills, and Abilities

  • Working knowledge of computerized spreadsheets
  • Knowledge and understanding of applicable payroll laws and regulations

If you are hired at Holy Name, your final base compensation will be determined based on factors such as employment status (Full/Part-Time or Per Diem) skills, education, and/or experience. In addition to those factors – we believe in the importance of pay equity and consider any internal equity of our current team members as a part of any final offer. Pay Range: $72,500.00 - $87,000.00
